Answering a PP or CP
Here’s how to do it in eZsign:
As part of responding to a promise to purchase (PP) or a counterproposal (CP), agents no longer need to send the document to themselves to add a response. The response is now made directly in the form of an annotation inserted into the signature fields. It is thus automatically integrated into the document without any additional steps.
- From the main menu in eZmax, select the
icon. You will be redirected to eZsign.

- Select New eZsign Folder.

Folder Information

- For this first step, you can select the Folder Type from the drop-down list and add a Folder Note.
NOTE: The Folder Note is not visible to the recipients; only the folder creator will have access to it.
- Next, select the Time Zone from the drop-down list, then click on Next Step.

Document Creation

During the document creation step, you need to add the files intended for signature. There are two ways to add files to the folder: upload files directly from your computer or add eZsign templates.
- To upload files from your computer, you can drag and drop the documents or click the Add Files button.

- Select the desired document from your computer, then click Open.

NOTE: In this example, I am adding a Promise to Purchase (PP) received from another agent, already signed by the buyers. My sellers must now enter their response.
- You will then be able to add eZsign Templates to your document.

- Click on Save Added Documents.

- Then click on Next Step.

Signatories
- To add signers to the folder, click on the button at the top right.

You will have the option to select a recent signer. If they are already in your database, they will automatically appear in the list. You can also enter, for example, the last name of your client to easily find the corresponding signers.

NOTE: Recent signers are displayed for a period of up to 13 months. The reference date used for this display is the creation date of the folder associated with the signer. It should also be noted that, for a signer to appear in this list, they must have the required permissions to manage the folder and must have an authorized login type for the new folder. To view the creation date, click on Info.

- To create a new signer, click on Create a Signer.


You will be able to enter the signer’s First Name and Last Name. Then, select the Language.
From the drop-down list, select the Authentication Type. For more information, please refer to the article Types of Signatory Authentication.

- Click on Save to create the new signer. When you are done, click on Add Selected Signatories.

- In the Roles section, you will have the option to assign a signer to signature fields.

- Select the desired signer from the drop-down list.

NOTE: From a role, you also have the option to add signers.
The Annotations section is available just below the role association, and the system directly asks you a question: what is the response to the purchase offer?
You can then respond by selecting an option: Accept , Refuse , or make a Counter-offer.
- Once the roles are assigned, click on Next Step.

If you select Accept , a field will appear where you can enter a bonus number, if applicable. Otherwise, simply leave the Accept option selected and the field blank.

If the response is Refuse , simply select Refuse and no further action is required.
If you choose Counter-offer , you must enter the counter-proposal number. Also make sure the Apply annotations option is enabled by keeping the box checked

For the Counter-proposal , if you are the counter-proposer, you do not need to enter a response. It is therefore very important to uncheck the Apply annotations option when you have no response to provide in the form.

Document Verification
Previously, you had to manually edit the fields and add annotations. Now, with automatically applied annotations, you no longer need to open the document. You can simply click Next step and send the file.
- If you want to review the document fields or annotations, click Edit Document Fields.

You will notice that the annotations have been correctly applied. You therefore no longer need to perform any manual steps: everything is automatic.
Here is an example of adding fields of the Annotation type:

- By clicking on the
icon, you will be able to preview how the document will appear once signed.

- When you’re finished, click on Save at the top right.

- Then click on Next Step.

Send Folder
You can add content templates or private messages when sending the document to the signers. For more information, please refer to the articles Creating an eZsign Folder: Start Here and Content Templates.
- Click on Send the eZsign Folder.

The signer will receive the document by email. Here’s what they will see when signing:
